Job Overview

Performs administrative support onsite at the Lake Mary, FL office. Regularly and continuously exercises administrative judgment and maintains confidentiality on issues impacting people, costs, and quality within the company. This role provides administrative and facility support for the Lake Mary, FL office and performs backup and support to the Life Science team.

 

Job Responsibilities

  • Oversees the company's lobby area and ensures that the area is inviting, clean, and orderly. Manages digital signage for the TVs in the lobby area.
  • Greets and directs all visitors to sign in and review security procedures. Administers badges and alarm codes to maintain control of facility access.
  • Assists with reservations for the conference rooms and training rooms. Assists with set-up and provides support as required.
  • Coordinates catering requests as required by meeting facilitators.
  • Ensures conference rooms and shared spaces are set back to the original configurations and are ready for use.
  • Plans and coordinates various company events, adhering to a budget and guidance from the leadership team and HR partners.
  • Signs for all deliveries. Documents and communicates arrival to ensure the appropriate department receives shipments.
  • Answers and routes incoming calls, supplies information to callers, and relays messages. Maintains the phone system and works with the vendor to make necessary changes.
  • Perform routine and special administrative projects for management, including presentations, reports, and documentation.
  • Maintains records and files for organizational communication and administrative activities such as directories, distribution lists, voicemails, e-mails, databases, Teams groups, organizational charts, territory maps, and division-wide communications.
  • Executes other duties such as but not limited to ongoing product and systems training, general filing, collating literature, and co-worker backup assistance for all Sales Operations staff.
  • Collects, organizes, and distributes mail to the correct department and collaborates with the finance team regarding facility expenses.
  • Schedules and oversees vendors for repairs and regular service/ maintenance.
  • Communicates with the property manager for upcoming inspections or work.
  • Oversees the housekeeping staff, assigns tasks, and approve timesheets.
  • Monitors expenses and procurement for the facility, including general office, janitorial, and operating supplies.
  • Assists the IT team in managing on-site equipment and resources.
  • Prioritizes safety throughout the facility, leads committee meetings, performs monthly building inspections, reviews surveillance cameras as needed, and maintains first aid supplies.
  • Provides support on miscellaneous projects as needed.

 

Minimum Requirements

  • Associate’s degree preferred, or equivalent combination of education and experience.
  • A minimum of 3 years’ experience providing administrative or operational support.

 

Required Knowledge, Skills, and Abilities

  • Demonstrated knowledge of MS Office software, including Word, Excel, and PowerPoint
  • Exceptional organizational skills.  Ability to multi-task and prioritize multiple requests.
  • Knowledge of SalesForce is preferred.
  • Ability to exchange non-routine information using tact at all times. 
  • Requires exceptional oral and written communication skills.  
  • Contributes to a business climate that establishes, maintains, and expands positive and cooperative working relationships encouraging employee participation and initiative.

 

Salary range: $25- $31 p/hr., depending upon experience
