Paragonix Technologies markets organ transportation devices that safeguard organs during the journey between donor and recipient patients. Our devices incorporate clinically proven and medically trusted hypothermic preservation techniques in a novel suspension system to provide unprecedented physical and thermal protection. Our product portfolio spans cardiac, thoracic, and abdominal preservation devices to improve donor organ quality and extend donor organ transport time. Paragonix also markets transplant procurement services to the transplant community.
Job Overview
Paragonix is seeking a detail-oriented and dependable Sales Operations Coordinator to join our Finance team. This role will provide day-to-day support for the Sales Operations function, with a focus on order processing, invoice creation, CRM/ERP data accuracy, and coordination with internal teams and external partners.
The Sales Operations Coordinator will help ensure that quotes, sales orders, invoices, credit memos, and related sales operations activities are processed accurately and efficiently. This role will work closely with the Director of Sales Operations, Finance, Commercial, Logistics, and other cross-functional teams to support the global order-to-cash process and maintain accurate operational data.
The ideal candidate is customer-service focused, organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment. Primary responsibilities/authority will include:
- Support the order-to-cash process, including creating quotes, sales orders, invoices, and credit memos for internal and external customers
- Assist with routine follow-up on open orders, pending invoices, overdue invoices, and missing documentation
- Work with 3PL partners and internal Logistics teams to coordinate accurate and timely shipments
- Maintain accurate customer, deal, and order information in HubSpot and NetSuite
- Assist with CRM data cleanup, data entry, and routine system updates
- Help prepare standard reports related to sales activity, revenue support, and operational tracking
- Identify process gaps or recurring issues and escalate them to the Director of Sales Operations
- Other responsibilities and duties as assigned
Required Qualifications:
- Bachelor’s degree in Finance, Business, or a related field
- 1-3 years of experience in Sales Operations, Customer Service, Finance, or related role
- Working knowledge of accounting principles
- Proficiency in Microsoft Excel, including basic formulas, filtering, formatting, and data review
- NetSuite experience is a plus
- HubSpot experience is a plus
Other Requirements:
- This role is a hybrid position with expectations to be in the Waltham, MA headquarters 3 days per week
- Demonstrated ability of working in a fast-paced, matrixed organization that requires quick response to changing needs.

US BASED SALARY - The minimum base salary for this position is $28/hr and the maximum salary is $31/hr plus 5%
