Job Title: Contracts & Invoicing Administration Manager
Location: Remote, UK
Getinge UKI are seeking a highly organised and people-focussed Contracts & Invoicing Administration Manager. In this exciting role, you’ll take ownership to lead and manage the Service Contracts Administration & Invoicing function across UKI, ensuring effective contract management and efficient, accurate invoicing processes. The role is responsible for the operational performance, compliance, and continuous improvement of contract administration and invoicing activities, supporting the growth and sustainability of the service contracts business. It also provides oversight of contract renewals, billing accuracy, and commercial documentation while driving improvements in processes, systems, and reporting.
Key duties and responsibilites:
Team Leadership
• Lead and develop the Service Contracts Administration & Invoicing team, fostering a culture of accountability, accuracy, and continuous improvement.
• Provide coaching, performance management, and development opportunities to team members.
• Manage recruitment, onboarding, and succession planning within the function.
• Conduct performance reviews and ensure alignment with departmental objectives and KPIs.
• Promote strong collaboration between the Contracts, Invoicing and all service teams to ensure seamless service delivery.
Contracts Management & Commercial Governance
• Oversee the lifecycle management of service contracts, including creation, administration, and timely renewals.
• Ensure all contract documentation and one-off service quotations are commercially accurate and aligned with company policies.
• Drive best practices in contract administration to support revenue growth and commercial excellence.
• Maintain oversight of contract data integrity within SAP and related systems.
• Support service leadership in identifying opportunities to optimise contract coverage and renewal performance.
Invoicing Operations & Revenue Support
• Ensure timely and accurate invoicing of service contracts, service activities, and related transactions.
• Maintain strong coordination with Finance and operational teams to ensure correct billing practices and revenue recognition.
• Monitor invoicing performance and identify opportunities to improve efficiency and reduce errors or delays.
• Ensure reporting and tracking of invoicing activities to support operational transparency and financial forecasting.
Operational Excellence & Process Improvement
• Maintain oversight of departmental processes, identifying opportunities to improve efficiency, accuracy, and scalability.
• Partner with the Operations Enablement Lead to support system improvements, process optimisation, and automation initiatives.
• Ensure compliance with internal controls, governance standards, and quality management requirements.
• Support the development and maintenance of process documentation, SOPs, and training materials.
Data, Reporting & KPIs
• Define and monitor departmental KPIs to ensure operational performance and service quality.
• Provide reporting and insights to Service and Operations leadership regarding contract performance, renewal rates, and invoicing efficiency.
• Use data and trend analysis to identify improvement opportunities and mitigate operational risks.
Cross-Functional Collaboration
• Build strong working relationships with Service Support, Finance, Projects, and Sales teams.
• Partner with operational and commercial stakeholders to support an effective quote-to-cash and service delivery process.
• Act as a key point of contact for contract administration and invoicing processes across UKI.

Knowledge, Skills and Experience:
- Proven experience in service contracts administration and/or invoicing operations would be highly desired
- Ability to demonstrate evidence of strong leadership, coaching, and people management skills
- Excellent communication and stakeholder management skills across functions and levels.
- Analytical and critical-thinking skills with a data-driven approach.
- Ability to manage multiple priorities in a fast-paced and changing environment.
- Experience with CRM systems, SAP, and customer or sales operations processes - experience with SalesForce would be an advantage
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Experience working in a matrix organisation
- Ability to travel to the Derby Head Office quarterly and internationally 1-2 per annum.
