Job Overview
- Responsible for the efficient operation of the office, ensuring a productive and organized work environment for all employees.
- Manage daily administrative tasks, oversee office supplies and services, coordinate with external vendors, and provide support to the Country Director.
Job Responsibilities and Essential Duties
Office Administration
- Coordinate with SEA HR and support and support HR administrative tasks and recruitment process.
- Drive local operations and ensure all practice align with requirements.
- Execute and manage ESG
- Initiate the monthly payment online.
- Checking and cooperate with outsourcing accounting service for payments as request.
- Adhere with company’s policy and regulations.
- Perform any ad-hoc duties as assigned by the Company and/ or the Manager.
Facility Management
- Responsible for office management and maintenance requests including overseeing contracts with service providers, coordinating maintenance and cleaning schedules and ensuring compliance with safety regulations.
- Ensure that all company environment, health and safety Policies and Procedures are well understood and adhered to.
- Manage and co-ordinate facilities related projects as required.
- Manage the stationery and pantry ordering process for the office.
Travel Management
- Act as the main contact between employees and BCD Travel.
- Share travel updates and changes with employees clearly and on time.
- Escalate issues or complex cases to the BCD Travel Program Manager when needed.
- Work with internal teams and BCD Travel to ensure smooth communication.
Minimum Requirements
- Bachelor of Office Administration.
- Minimum 3-5 years of working experience.
- English speaking will be an advantage.
Required Knowledge, Skills and Abilities
- Proficient in preparing and editing documents using MS Office, Word, Excel, PowerPoint.
- Basic accounting knowledge or background
- Responsible, punctual, self-initiative and collaborative
- May work extended hours during peak business cycles
- Travel requirements: occasional (depend on the business requirement).
- Ensures environmental consciousness and safe practices are exhibited in decisions.
- Ensure that all work is conducted in a manner compliant with the Local Safety Regulation and all relevant country legislation.
